The advancement in technology has led to many things being done in a different way, for instance, in the olden days; it would be difficult to make an announcement that would reach many people at the same time. The methods employed back then have since evolved to accommodate fast and efficient ones, which do not require too much effort. Thanks to the media, if an event is taking place in one part of the world, it is possible for someone on a different continent as well as time zone, to view it in real time. This has opened up possibilities for businesses and event publicists in their quest to reach out to as many people as possible, for them to sell their products.
A press release is also referred to as a press statement or a news release, where a person, an organization or a particular arm of the government will send out communication to a certain media house, for them to announce it to the public. The communication is assumed news worthy, although the stations have the liberty to air the release or not. The main process through which press releases are sent to the media houses include via mail, e-mail, fax, or even streaming a video. A news editor belonging to a media house can receive hundreds of press releases, and it is up to them to decide which ones they will air and which ones they will not.
How to make a press release stand out:
- Package the release in a very attractive way, such that the message being conveyed will attract both the news editor and the people receiving the message. Good news is always a winner, and the intentions of sending the message must be good.
- It is noteworthy to address the release to the particular relevant editor, who is going to receive it. In case a particular editor mainly deals with what the release is about, then they are the best to address to, but if the release has nothing to do with their line of work, they will most likely ignore it.
- A press release must fulfill the standard requirements of a press release, such that it should not be hand written but typed, the document must be double spaced, and it must contain the letterhead of the institution sending it as well as the address and phone number on it.
- The press release must not be too long to bore the editor or take up too much time, and the same time it must not be too short, since it has to address the basic elements which include: what, who, when, why, where and how.
- Finally, ensure that the document that is being sent to the editor does not contain any spelling mistakes. In addition, the sender must know that the document is not an article, and therefore must not contain a lot of embellishment. Making a report of what you wish the editors to publish will result in their releasing it the way that they want.
